CfA: Office Manager

The Rachel Carson Center for Environment and Society seeks an office manager to join its team on a full-time (40,1h/week) basis. The position starts 1 June 2018.

The Rachel Carson Center for Environment and Society (RCC) is an international, interdisciplinary research institute located in central Munich. It was founded in 2009 as a joint initiative of LMU Munich (Ludwig-Maximilians-Universität) and the Deutsches Museum. The working language of the center is English. At any given time, the RCC is home to around twenty-five visiting scholars from across the globe, as well as an international staff who manage academic programs, publications, communications, events, and finances.

The office manager is responsible for everything that keeps the center running smoothly on a day-to-day basis. S/he will coordinate payments, liaise with events coordinators and conveners and oversee the management of workshops and conferences, and be the first port of call for international fellows who have questions or concerns about life in Munich. The position is demanding but also full of variety—it includes the following tasks on a regular basis, but also many others that arise in a dynamic research environment:

  • Responsibility for the smooth operation of the office: liaison with contractors, suppliers, and the university administration;
  • Processing of incoming mail, phone calls, and general inquiries;
  • Management of staff and project contracts via LMU Munich, contact for all questions relating to contracts;
  • Supervision of a team of student assistants;
  • Overview of budgets, settlement of bills (national and international), financial management for events;
  • Preparation and processing of travel reimbursements according to the Bavarian travel law for RCC staff, fellows, and invited guests;
  • Support in the recruitment of new staff, in the administration of the fellowship program, the RCC Doctoral Program Environment and Society;
  • Support in the organization of in-house events.

 

Successful candidates should have the following:

  • Bachelor’s degree or equivalent training and experience;
  • Excellent written and spoken English and German;
  • Strong organizational and communication skills;
  • Enthusiasm for working as part of a diverse and lively team and sharing in the social life of the RCC;
  • The ability to prioritize and manage a variable workload.

An interest in environmental issues and/or experience of administration within a higher education setting would be advantageous.

The contract will run through 31 July 2020, and there will be a six-month probationary period. The RCC offers an attractive compensation package including a yearly gross salary of between 33,000-40,000 Euros (based on the tariff contracts for public service, level E8, commensurate with experience) and 30 days paid vacation. As the candidate will be a state employee, they are required to have German health insurance and to make contributions to the German tax and social welfare system.
